Changes to our privacy policy

If the way in which we process your information is to change at any time it will be available on this page and will state the date this has been updated at the top of the page.

What information we collect

Mailing List: Surface Festival Ltd collects email addresses via a sign-up service to our mailing list via our website

Online applications: Surface Festival Ltd collects online applications from bands and artists to be considered for taking part in the Surface Festival via our website  Our online application requires names, email addresses, postal addresses, ages/D.O.B, MySpace addresses/website links, contact telephone numbers.

Text Voting:
Surface Festival Ltd does not collect any telephone numbers from people using our text vote service.

Purpose of Processing

Mailing list: Email addresses are added to our regional and International mailing lists which are used to keep you informed about Surface Festival Ltd and our associates.

Online applications: Information submitted via our online application is used by the area managers contracted by Surface Festival Ltd to book bands and artists (participants) onto The Surface Festival. If a band request tickets, posters, flyers, magazines to be sent via post, postal addresses will be used to. We will not send any unsolicited material via post. Primarily participants will be contacted by email however sometimes telephone contact is required ie: if we need to contact bands and artists who have/are participating in the Surface Festival at short notice. Applications are stored on our database and email addresses are added to our regional and International mailing lists which are used to keep you informed about Surface Festival Ltd and our associates. MySpace links/Website addresses are published on our website/s as well as other promotional materials ie: e-newsletters.

Text Voting: If you have submitted your details via our text voting service we will not use the telephone numbers for marketing purposes and we will not keep telephone numbers from text votes on our database. Our service provider, Oxgen8, will use telephone numbers to send an automated confirmation text to say that your text vote has been registered.

If you at any point no longer wish to receive communication from Surface Festival Ltd, please click on the ‘unsubscribe’ link at the bottom of the email.

Where information will be stored/security measures

All information you provide to us is stored on our secure servers. Our servers are kept in locked offices with alarm systems and CCTV in place. We have passwords to access all personal information.

Surface Festival Ltd has implemented security policies, rules and technical measures to protect the personal data that we have under our control from unauthorised access, improper use and disclosure, unauthorised destruction or accidental loss. However as transmission of information via the internet can never be 100% secure Surface Festival Ltd excludes liability for any personal data lost in transmission.

Oxygen8 is our text vote service provider and has access to telephone numbers from text votes cast. Oxygen8 will process your data purely on behalf of Surface Festival Ltd to send an automated confirmation text to say that your text vote has been registered.

Disclosure of information

Personal identifying data submitted to us is used by Surface Festival Ltd only. Personal data will not be disseminated, disclosed or sold to third parties outside of Surface Festival Ltd.

In the unlikely event that a liquidator, administrator or receiver is appointed over us or all or any part of our assets that insolvency practitioner may transfer your information to a third party purchaser of the business provided that purchaser undertakes to use your information for the same purposes as set out in this policy.
